Outlook search isn't finding recent emails

Outlook search relies on a Windows search index that catalogs every email. When the index is incomplete or corrupted, searches return wrong results even though the emails are there. Rebuilding the index fixes it without affecting any emails.

The Windows search index that powers Outlook search is incomplete or corrupted. The emails are there but not cataloged. Rebuilding the index takes 30 minutes to a few hours based on your email volume, but it fixes search without losing anything.

Risk: Low ⏱ 10-20 minutes for diagnosis, 30 minutes to several hours for rebuild Beginner
⚡ Before you start
  • Scroll to the folder where the email should be and look manually. Confirm it is actually there before assuming search is broken
  • Try searching from the web version at outlook.com. If web search finds it but Outlook desktop does not, the local search index is the problem
  • Restart Outlook and try searching again. A simple restart sometimes clears temporary index issues
